Add and manage tasks

This article explains the ways in which you can add and manage tasks within the calendar layout.

After you add, edit, duplicate, or delete tasks or insert milestones, select Save to Database to save your changes to the database.

Use Discard Changes if you want to discard all the changes you made.

Select Preview Changes to preview all changes you made. You can select the ones you want to discard and save the remaining to the database.

Add a task#

  1. Select Add Task on the toolbar to create a new task or an event. Alternatively, select a date directly on the calendar to create a task or appointment for that date.
  1. In the form editor, enter the required details. If the table contains single-select list columns, select the appropriate values from the drop-down list.
  1. Select Apply. The appointment is added to the calendar.
  2. Select Save to Database to save the details to the database.

Select and drag

You can select and drag across one or more dates to create a task with the selected start and end dates.

Then, add the task details in the form editor and select Apply.

  • When you add a task without a start date, it is considered as a milestone.
  • When you add a task without the start and end dates, it is added as a backlog task which you can schedule later.

Create and manage backlog tasks#

A backlog task is a task without a specific Start Date or End Date. PowerTable lets you add unscheduled tasks in the calendar layout, keeping unconfirmed or unscheduled tasks separate from scheduled tasks. You can schedule a backlog task later by assigning Start Date and End Date values.

Create a backlog task

To create a backlog task:

  1. Select Backlog Task to open the Backlog Task panel.
  2. Select Add Task to open the Record Details panel.
  1. Enter the required task information in the Form Editor without adding the Start and End Dates.
  1. Select Apply. The task is added to the backlog without a scheduled time period.
  2. Select Save to Database to save the task to the database.

If you specify a Start Date and End Date when creating a task from the backlog, PowerTable creates it as a standard scheduled task instead of a Backlog Task.

View backlog tasks

You can view the backlog tasks by selecting Backlog Task. A side panel opens with a list of all backlog tasks.

Schedule a backlog task

To schedule a backlog task, select Backlog Task, select the Edit icon next to the task you want to schedule, and specify the Start Date and End Date. The task then appears as a scheduled task in the calendar.

Use the bin icon to delete the backlog task.

Import tasks#

You can import task records in bulk using the Import option under the PowerTable tab. To learn more, see Import bulk data.

Create a milestone #

Milestones represent important events, deadlines, or completion points in a task schedule. You can create a new milestone in the calendar or convert an existing task into a milestone.

To create a milestone:

  1. In the PowerTable tab, expand Add Task and select Insert Milestone. The Record Details side panel opens with the Form Editor.
  1. Enter the required task details and fill in all mandatory fields.
  2. Select Apply.

The configured milestone is displayed on the calendar. Select Save to Database to save the milestone to the database.

The Start Date field is disabled when you create a milestone because a milestone is represented by a single date rather than a task duration.

Also, when you add a standard task without a start date, it is automatically added as a milestone.

Convert to milestone

To convert an existing task in the calendar to an important milestone, right-click on the task and select Convert to Milestone.

PowerTable converts the task to a milestone as shown in the following image.

Reschedule a task#

To reschedule a task, drag and drop it from its current date to the required date in the calendar layout.

Alternatively,

  1. Right-click on the task and then select Reschedule Task.
  1. The Reschedule Task dialog opens. Use it to move a task forward or backward by a specified time period.
  • Move: Select Forward to move the task to a later date or Backward to move it to an earlier date.
  • Range: Select the unit of time by which to move the task, such as Day, Week, or Month.
  • Duration: Specify the number of selected time units to move the task. For example, selecting Week and entering 2 moves the task by two weeks.
  1. Select Apply to reschedule the task based on the selected options.

Edit a task#

You can edit the task details in three ways:

Expand the task

  1. Select the task on the calendar that you want to edit.
  2. On the pop-up, select the Expand arrow to open the form editor.
  1. In the form editor, edit the task details and select Apply.

Use Customize Form in the form editor to customize the form.

Manage record option

Alternatively, right-click on the task and select Manage Record to open the form editor and edit.

Drag and drop the task bar

To edit a task's dates or duration, hover over the task bar and then drag and drop the edges from its current position to the required time period.

In Week or Day view, drag the taskbar vertically to move it across hours.

In Month view, drag it horizontally to move or extend the task across days.

Duplicate a task#

Select the task, and then select the vertical ellipsis on the pop-up and then select Duplicate.

PowerTable duplicates the selected task and opens the form editor. You can edit the details you want in the form editor and select Apply to save changes.

Delete a task#

To delete a task, right-click on the card and select Delete. Or, select the card and then select the Delete option (bin icon) at the top.

Alternatively, select the task and then the vertical ellipsis on the pop-up and then select Delete.

The setting in the Manage Access menu controls the user's delete access. If Delete is disabled, go to Setup > Manage Access and update the delete access settings.
